User roles and permissions model
Taia has two layers of roles: account type (individual vs organization) and scoped role (your role within an organization or team). Understanding these helps you set up the right access for each person on your team.
Account types
| Account type | Description |
|---|---|
| Individual user | A standalone Taia account with no organization. Full access to their own projects and resources. |
| Organization member | Part of an org. Their access depends on their scoped role within the org/team. |
| Vendor (external linguist) | An external translator who receives professional translation assignments. Cannot create projects. |
| Admin / Project Manager | Taia internal staff. Full platform access. Not a user role you assign to team members. |
Scoped roles within an organization
When you add someone to your organization, you assign them a scoped role:
| Role | What they can do |
|---|---|
| Team Member | Translate files using the team's subscription; access shared glossaries, TMs, and style guides; work on assigned tasks |
| Limited Team Member | Can only work on tasks explicitly assigned to them; cannot create new projects or browse all team projects |
| Team Manager | Everything a Team Member can do, plus: create tasks, assign work to other team members, view all projects in their team |
| Org Manager | Full access to all teams in the organization: manage users, billing, shared resources, and all projects |
| Billing Manager | Manage billing accounts, view invoices, and change subscription plans; cannot manage users or projects |
How teams and orgs work together
An organization can contain multiple teams. Each team can have its own billing account (subscription + quota). A user can be a member of more than one team with different roles in each.
The Team Selector in the sidebar lets a user switch between their teams. When they switch, the entire workspace updates: quota, projects, glossaries, and TMs all reflect the selected team.
Org Manager and Billing Manager aren't scoped to a single team — they have org-wide access across every team above.
Vendors
Vendors are external linguists who receive professional translation assignments from Taia project managers. They access only their own assignments — they cannot see other projects or internal resources. Vendor profiles are managed separately from organization membership.
