Collaborative Translation Tasks in the CAT Tool

Taia's built-in CAT Tool (Computer-Assisted Translation Editor) now supports collaborative task workflows. This means that teams can assign, manage, and track translation tasks such as post-editing, revision, and proofreading — all within the platform.

This guide explains how to:

  • Add and manage tasks
  • Assign users
  • Track task progress
  • Work collaboratively in the editor

Overview of Supported Task Types

You can add any combination of these tasks to a translation job.


Step 1: Viewing Translation Tasks

Once a file has been AI-translated, you’ll see a Translation Tasks section in the project view.

  1. Navigate to Projects → open a completed translation

  2. Scroll to the Translation Tasks table

  3. You’ll see:

    • Target language
    • Status (e.g. MT-merged)
    • Word count
    • Assigned tasks and their status

Step 2: Creating Tasks

To add a task:

  1. Click Add Task next to the relevant target language
  2. Select the task type (MTPE, Revision, Proofreading)
  3. Choose the user to assign the task to
  4. (Optional) Add a deadline and description
  5. Click Create Task

The task is now visible in the job and listed under the assigned user’s dashboard.

📧 Assigned users receive an email notification.


Step 3: Managing Tasks

Each task entry allows you to:

  • View task type and current status (e.g. IN_PROGRESS)
  • See who it's assigned to
  • Edit or delete the task
  • Open the Translation Editor to begin work

Only Team Managers or Org Managers can:

  • Create, reassign, or remove tasks
  • Access all team or organization-wide tasks

Team Members can:

  • View their own assigned tasks
  • Accept or reject them from the Assignments view

Step 4: Accepting Assignments

Assigned users will:

  1. Receive an email notification
  2. See a new Assignments card in their user profile
  3. Accept or reject the task

Once accepted, the user gains access to the translation job in the CAT Tool.


Step 5: Using the CAT Tool

The editor supports:

  • Full segment-by-segment editing
  • Inline formatting and tags
  • Autosave and task progress tracking

  • Segment-level status tracking
  • TM/glossary match highlighting
  • Terminology QA warnings

Step 6: Task Completion and Handover

Currently, tasks remain open until:

  • The user marks them as complete (planned in a future update)
  • The project is submitted for professional upgrade

  • Automatic completion triggers
  • Progress-based completion criteria
  • Review/approval workflows

Best Practices

  • Use descriptions to clarify expectations for each task (e.g. tone, audience)
  • Set deadlines to keep the workflow on track
  • Enable guidelines in your organization to enforce compliance (e.g. style, file types)
  • Review translation memory & glossary before editing to ensure consistency

Known Limitations

  • No segment-level completion yet (planned)
  • No real-time collaboration in the CAT tool (yet)
  • Task status must be updated manually
